QuickBooks Online Integration (Intuit)
BK's Audio Video Systems Inc. connects to its own QuickBooks Online company through Intuit's official, authorized API so that our website can display our accounting records to us and to our customers. This section explains exactly what QuickBooks data we access and how we handle it.
What We Access
Using Intuit's secure OAuth 2.0 authorization and only the QuickBooks Online Accounting scope (com.intuit.quickbooks.accounting), our application accesses the following data from our QuickBooks Online company:
- Invoices — invoice numbers, dates, amounts, balances, currency, and line-item summaries
- Customers — customer display name and email address
- Payments — payment records, used to keep invoice balances accurate
- Income accounts and company information — used to verify the connection and correctly categorize products
We write only one type of data back to QuickBooks: our own product catalog, added as non-inventory items so that invoices can reference them. We do not create, edit, or delete invoices, customers, or payments in QuickBooks — QuickBooks remains the system of record for all accounting data.
How We Use QuickBooks Data
- Display invoices, balances, and payment status in our secure admin dashboard and customer portal
- Keep our records synchronized with QuickBooks through Intuit webhooks and periodic checks
- Send a one-time email requesting a Google review after an invoice is marked paid
How We Store and Protect QuickBooks Data
- QuickBooks connection credentials (OAuth access and refresh tokens) are encrypted at rest using AES-256-GCM encryption and are never exposed to your browser.
- Mirrored invoice and customer records are stored in our secured database and are accessible only to authorized administrators and, within the customer portal, to the customer to whom the records belong.
- We never sell, rent, trade, or share QuickBooks data with third parties for their own purposes.
Disconnecting and Deleting Your Data
The QuickBooks connection can be disconnected at any time from the Connected apps (Apps) section of the Intuit account, or by contacting us using the details below. When the connection is removed, we stop accessing QuickBooks and revoke the stored access credentials. To request deletion of the QuickBooks-derived data we have stored, contact us at info@bksaudiovideo.com and we will delete it, except where we are required to retain certain records to comply with legal or tax obligations.
Our access to and use of information received through the Intuit APIs adheres to the Intuit Privacy Statement.
Data Security
We implement appropriate technical and organizational measures to protect your personal information. However, no method of transmission over the Internet is 100% secure.
